Imaginate is recruiting a National Schools Project Manager to project manage Theatre in Schools Scotland, Explore and Edinburgh International Children’s Festival schools’ bookings.

Terms: Full time, 5 days a week, permanent
Reports to: Senior Producer
Salary: £27,000 p.a. plus 5% employer contribution to pension

Key Tasks and Responsibilities

Theatre in Schools Scotland (TiSS) Touring

  • Managing the TiSS schools tour:
    • Communicating with schools and local authorities to manage schools’ bookings.
    • Communicating with commissioned and associated companies around touring.
    • Monitor and manage the day to day budget and finance of Theatre in Schools Scotland.
  • Updating the Data Management System with the touring schedule and full details.
  • Booking all school tours and overseeing communication with schools, partners and local authorities for current tours and upcoming tours for TiSS and Explore
  • Booking all travel and accommodation for TiSS commissioned touring companies, and determining support for associated productions requirements on the road.
  • Managing and monitoring and reporting of TiSS budgets.
  • Writing contracts between:
  • Imaginate and National Theatre of Scotland (NTS)
  • TiSS and local authorities/schools/other partners
  • TiSS and Producing Companies/Associate Producing Companies
  • Contributing to a communications campaign and a longer-term communications strategy, and being the central TiSS point of contact for NTS’s freelance marketing and press manager, who delivers all Marketing, Press, Online and Social Media activity.
  • Communicating with Scottish artists and companies developing work for schools and connecting with TiSS. 
  • Regularly reporting of TiSS progress to Pamela Walker, Imaginate Senior Producer and Gillian Gourlay at National Theatre of Scotland (NTS).
  • Working with Imaginate and NTS teams to programme the work for TiSS, which includes managing the call outs.
  • Acting as an ambassador for TiSS, Explore, partner organisations and children’s theatre in Scotland.

Festival Schools Bookings

  • Develop relationships with teachers to encourage and support them to attend the Edinburgh International Children’s Festival.
  • Allocate tickets to school bookers by weighing up different factors including responding to schools’ preference and age suitability, maximising school sales, spreading attendances across performances and building relationships with schools.
  • Manage all schools’ bookings by operating and refining the Festival’s schools booking system and support schools throughout the booking journey.
  • Coordinate all logistical elements surrounding schools’ participation in the Festival, liaising with teachers until, during and just after the Festival.
  • Support the marketing campaign to sell TiSS and Festival shows to schools, including by contacting schools, teachers and councils by email and on the phone.

General

  • Use systems to update bookings and communicate with teams using Imaginate’s Data Management System, Excel and Red 61.
  • Credit control for schools’ invoices and manage the bus subsidy scheme for Children’s Festival and Explore.
  • Developed and communicate the Explore programme throughout the year, selling the packages to venues, schools and councils.
  • Support schools on access requirements for pupils with Additional Special Needs (ASN).
  • Attend all Imaginate team meetings (Tuesdays, weekly) and report on project progress.
  • Fortnightly update and progress meeting with the Senior Producer.
